Finance automation, built around your workflow
Your whole group. One set of numbers. No spreadsheets.
You show us how your finance team works today. We build a system around it that automates the spreadsheets: weekly sales, GP, payment runs, intercompany and the consolidated P&L and balance sheet. Your process, without the formulas.
| Revenue | 1,184,220 |
| Cost of sales | (318,905) |
| Wages | (329,140) |
| Overheads | (287,612) |
| Group EBITDA | 248,563 |
Spreadsheets you'll never open again
Every finance team has these files. Consolida retires them.
Each one started as a quick fix. Now they hold your group together, and only one or two people know how they work.
Till exports pasted in every Monday, then rebuilt when a new tab or venue is added.
Now: Till data imports itself, reconciles to banking and the flash report is ready by 9am.
Each chef has a different version. Purchases are re-keyed from invoices that are already in your ledger.
Now: purchases flow from coded invoices. Chefs only enter stock, wastage and transfers.
Aged creditors exported, filtered, highlighted, then checked against bank details by eye.
Now: a live worklist per company from your ledger, bank file export and alerts when bank details change.
Cross-charges raised on one side and forgotten on the other. Month-end starts with a hunt.
Now: journals post on both sides at once, and a live matrix shows every balance.
Trial balances from each company, pasted, mapped and linked. One wrong row and the group number is wrong.
Now: a consolidated P&L and balance sheet on demand, with intercompany eliminated, against last year and trailing 12 months.
A tracker of what has been posted, what is on hold and who has approved it.
Now: AI reads each invoice, suggests the codes, blocks duplicates and exports to your ledger.
#REF!Broken formulas
One inserted row or deleted tab and the total is quietly wrong.

Not off the shelf
You tell us how you work. We build the software around it.
Off-the-shelf software makes your team change its process to fit the product. Consolida works the other way round: your workflow, your rules and your reports come first, then we automate them.
Show us your workflow
Walk us through every spreadsheet, email and manual step, from invoice in to board pack out.
We map and design
We turn it into a written plan: what gets automated, who approves what, and which reports you get.
We build and automate
Built on our proven modules and shaped to you: your nominal codes, sign-off rules and formats. Weekly demos on your own data.
It grows with you
New venue, new company, new report? We add it. The system keeps up with the business.

Built for groups
Many companies. Many venues. One set of books to trust.
Most finance apps assume one company. Hospitality groups run a limited company per venue, a property company, a head office and cross-charges between them all. Consolida is built around that.
Multi-company
Switch between companies or see all of them at once, with access set per person and per company.
Intercompany
Cross-charges post on both sides together, and mismatches show up the day they happen.
Consolidation
Consolidated P&L and balance sheet in one click, with intercompany balances eliminated, compared to last year and trailing 12 months.
Control
Tick-box permissions for every module, full audit log and approval steps before anything reaches the ledger.

Add up the hours your team spends keeping them alive.
Move the sliders to match your business. The estimate is deliberately conservative; the free spreadsheet health check gives you real numbers.
AI built in · powered by Claude from Anthropic
AI that knows your prices, your suppliers and your numbers.
Every invoice that passes through Consolida becomes data the AI can use. It compares prices across every venue and supplier, spots what has changed, and answers questions about your business in plain English.
Price comparison across the group
The same item, every supplier, every venue, side by side. See who pays the most for lager kegs or chicken thigh, and what the group would save by matching the best price.
Price rises caught on arrival
Each new invoice line is checked against previous prices. Rises above your threshold are flagged before the invoice is approved.
Price history for every item
How a product's price has moved over months, by supplier and by venue, ready for your next supplier negotiation.
Questions about your company data
Spend by supplier, cost trends by nominal code, which venue's wages are climbing. Ask in plain English and get an answer from your own records.
Documents read and coded
Invoices, statements and receipts turned into coded lines, with nominal codes suggested from how you coded before.
Problems found early
Duplicates, totals that don't add up and unusual postings, flagged before they reach your ledger.
Month-end commentary drafted
A first draft of P&L notes explaining the big movements, for your finance team to review and edit.
Transparent AI costs
AI usage is tracked per company, so you always see what it costs and what it saves.
Venue B · £142.00
Venue A · £148.50
Venue C · £156.20
Matching Venue B's price at all three would save about £1,160 a month.
Sample Drinks Co · lager kegs +7.8%
Sample Produce Ltd · chicken thigh +8.1%
Sample Linen Co · napkins +6.0%
Estimated extra cost this quarter: £3,412
Example only. Answers come from your own invoices and ledgers. A person reviews anything before it is posted.

Why Consolida exists
“I've led finance for multi-venue hospitality groups, so I know exactly where a finance team's hours go. Consolida gives them back.”
Consolida is built by finance professionals who have run month-end across multi-company, multi-venue groups. We know the reconciliations, the reporting deadlines and the questions the board will ask, so every feature is designed to make a strong finance team faster, more accurate and free to focus on the numbers that matter.

FAQ
Common questions
Do we have to change our accounting software?
No. Consolida works alongside your accounting software and posts into it. Sage 50 is supported today, and connections to Xero, QuickBooks and other leading packages are built as part of your setup. Your accountant keeps working as they do today.
Can we still export to spreadsheets?
Yes. Every report exports to a spreadsheet or PDF. The difference is that the spreadsheet becomes somewhere you look at numbers, not where you calculate them.
How long does setup take?
Most groups are live on their first modules within 4 to 8 weeks. We move your existing spreadsheets across with you, one process at a time.
How accurate is the AI invoice reading?
It reads supplier, dates, references, lines and VAT, then a person approves. Nothing reaches your ledger without sign-off, and totals must reconcile before export.
Which AI do you use, and is our data safe?
AI features are powered by Claude from Anthropic, used through Anthropic’s commercial API. Your data is sent only to answer your own requests, and one client’s data is never used for another.
We only have two venues. Is it worth it?
Starter is built for smaller groups. If you spend more than a day a week on spreadsheets, it usually pays for itself.
Is this off-the-shelf software?
No. We start from your workflow and build around it: your nominal codes, your approval steps, your reports and your formats. Modules we have already built are a head start, not a limit. Bonus calculators and KPI scorecards both started as one client's request.
What happens when our process changes?
The system changes with it. New venues, new companies, new reports and new rules are part of the monthly plan, not a new project.
Free spreadsheet health check
Send us the spreadsheet you trust least.
We'll show you where it can break, what it costs your team each month and what it would look like in Consolida. No obligation.
